Talk like a person
Don’t write like a system message.
Talk like you’d talk in a message to a friend. Short, direct sentences. No filler.
Bad:
“Thank you for your inquiry. Your request has been received.”
Better:
“Got your message. We’re on it.”
Skip the long intros. Skip the fluff. Just say what matters.
Name what’s happening
People don’t like guessing. If an AI is texting them, tell them.
Bad:
“Hi! I’m Emma, your advisor 🙂”
Better:
“Hi, I’m Reshape, the AI assistant. I can help with your questions.”
You can still be helpful. You can still be nice. Just don’t fake it.
Time matters more than tone
A message sent 3 hours late won’t feel human, no matter how good it sounds.
Most people expect a reply in under a minute. But if you reply too fast, it feels scripted.
Find a rhythm that makes sense.
A message at the right time feels real—even if it’s automated.
Skip the script
If every message sounds the same, people notice. They stop replying.
Add variety. Mix short and medium sentences. Use small changes depending on the user. That helps things feel more natural.
Example:
“Hey, just saw your form. Want me to text the info or call you?”
“Cool, you’re looking at the UX course. Want me to send you the full plan?”
Same idea. Different voice.
Don’t force emojis
Use them if they fit. Don’t use them to seem fun if that’s not your tone.
Fine:
“All good 👍 we’ll send it later today.”
Not great:
“Thank you for reaching out 🥰✨ your request is confirmed 🌈💫”
You don’t need to “humanize” everything. Just be clear and helpful.
Let people switch to a real person
Even good automation has limits.
Give users a way to talk to someone. Don’t make them beg for it.
Say:
“Want to talk to the team instead? Just reply ‘human’ and we’ll take over.”
It builds trust. And trust is what actually helps you convert.
